This page is for people who live in Zambia but not in the capital: miners and engineers on the Copperbelt, tour operators and hotel staff in Livingstone, teachers and nurses posted to Kasama, Solwezi or Chipata, and the foreign professionals who work alongside them. Your visa problem is mostly geography. Nearly every mission that takes applications is in Lusaka, some decisions now happen in other countries, and you have to fit a long trip around work. Below is a map of who handles what, how to reach them from Ndola, Kitwe or Livingstone, and when a $9 reservation from us is worth ordering. If you are based in the capital itself, our Lusaka guide goes deeper on each embassy.

Where does a visa file from outside Lusaka end up?
Short answer: you submit in Lusaka or Johannesburg, and the decision may be taken somewhere else again. This is the part people in Ndola and Livingstone most often get wrong, so here it is in one table.
| Destination | Where you hand in the file | Where it is decided | What it says about flights |
|---|---|---|---|
| Germany (also Austria, Hungary, Slovenia as main destination) | German Embassy, Lusaka[4] | Same embassy | Reservation plus itinerary; no purchase proof needed[4] |
| Sweden | VFS Global, Lusaka[5] | Swedish Embassy, Nairobi[6] | Per the VFS checklist for your purpose |
| Netherlands | Swedish VFS centre, Lusaka[5] | Netherlands authorities | Reservation in your name; paid ticket not needed[15] |
| United States | Interview in Johannesburg[1] | US Consulate General, Johannesburg | No booking required; buy after approval[2] |
| United Kingdom | Online, then VFS Global biometrics[7] | UK Visas and Immigration | Flight bookings rated less useful for visits[14] |
Do you really have to go to Lusaka in person?
For a German visa, yes. The embassy works by appointment only, and it accepts files only from people who reside in Zambia (and from Malawi residents for long-term visas).[3] It also expects the full set of documents on the day; incomplete files are not accepted.[4]
Families from the Copperbelt should note one more rule. For a child's application, the embassy says both parents named on the birth certificate, or the parent with sole custody, must sign in front of its visa staff.[4] That can mean two adults taking a day off work and travelling 300-odd kilometres to Lusaka, so plan it like a trip, not an errand.
For the Netherlands and Sweden you go to the VFS centre in Lusaka.[5] For the UK, you finish the online form first and then book biometrics through VFS.[7] For the US, the journey is now to South Africa.
US visas: the Johannesburg trip from the provinces
The US Embassy in Lusaka stopped routine visa work on 1 August 2026. Zambia's citizens and residents now schedule their appointment and pay the fee in Johannesburg.[1] For someone in Ndola or Livingstone that is not necessarily worse than a trip to Lusaka, and sometimes it is easier.
The Ndola schedule published by the Zambia Airports Corporation lists Airlink flights to Johannesburg, alongside Proflight services to Lusaka.[10] Airlink's own network page lists Livingstone and Ndola as well as Lusaka among its Zambian points.[12] A Copperbelt applicant can therefore fly straight south for the interview rather than going via the capital.
Entry to South Africa is simple for Zambian passport holders: no visa for up to 90 days a year.[8] If you are a foreigner working in Zambia, look up your own nationality on that list first. Remember too that the embassy page describes a bond of up to $15,000 or $20,000 for eligible Zambian B1/B2 applicants, explained only by the officer after the interview.[1]
Before you plan that trip, know the wider restriction. Presidential Proclamation 10998 matters here: as of 1 January 2026, Washington is issuing only limited numbers of B-1/B-2, F, M, J and immigrant visas to Zambian passport holders, outside a few exceptions.[17] Read the latest notice before paying for flights south.
Do you need a reservation for that US interview? No. Washington tells applicants to leave ticket purchases until after approval.[2] Spend the money on getting to Johannesburg instead.

What the Schengen desks in Lusaka say about flights
Here the news is good for anyone ordering from outside the capital. The German Embassy's checklist asks for a "Flight Reservation" with a full itinerary showing your entry into and exit from Schengen, and it states plainly that you are not required to prove you bought a ticket before the visa is issued.[4]
The Dutch checklist is equally relaxed. A reservation in your name, or some other document showing travel plans, is enough, and in its words "You do not need a paid travel ticket."[15]
So for the two most common Schengen routes from Zambia, a held booking is the honest, sensible document. The picture changes only when your own checklist demands a confirmed or paid ticket. In that case, follow the checklist; a refundable fare is the safer buy.
Flights from Ndola and Livingstone that look natural on a reservation
Your reservation should start from the airport you would really use. Here is what the official sources show.
| Airport | Serves | Carriers shown on official pages | Sensible visa routings |
|---|---|---|---|
| Simon Mwansa Kapwepwe (Ndola) | Copperbelt, North-Western and Luapula[9] | Ethiopian (Addis Ababa), Kenya Airways (Nairobi), Airlink (Johannesburg), Air Tanzania (Dar es Salaam), Proflight and Zambia Airways[10] | Ndola–Addis–Frankfurt; Ndola–Nairobi–Amsterdam |
| Harry Mwaanga Nkumbula (Livingstone) | Southern Province; 15 km from the Victoria Falls[11] | Airlink lists Livingstone in its network[12] | Livingstone–Johannesburg, then long-haul |
| Kenneth Kaunda (Lusaka) | Everyone else, and the widest choice | Emirates, Qatar Airways and Turkish Airlines are in ZACL's airline directory but not on the Ndola schedule[16][10] | Lusaka–Dubai or Doha–Europe |
The Ndola airport opened in August 2021 and was built to give Kitwe, Chingola, Mufulira, Luanshya and Chililabombwe roughly equal access to international flights.[9] An Ethiopian connection through Addis Ababa from Ndola to a German city reads perfectly normally for a Kitwe resident. Starting the same person's itinerary in Lusaka also works if that is how they plan to fly; just keep it consistent with the cover letter.

Example: a Kitwe couple taking their son to Vienna
Suppose a couple in Kitwe want to take their twelve-year-old to Vienna for ten days in April. Austria is the main destination, and the German Embassy in Lusaka handles Austria-bound files for Zambia residents.[4] Because the child is applying too, both parents must sign in front of the visa staff.[4]
They book one appointment day for the whole family and drive down the night before. Three days before that, they order one reservation with three names: Ndola to Vienna via Addis Ababa, back ten days later. Hotel, insurance (at least 30,000 euros of cover) and both employers' leave letters carry the same dates.[4] If the visas come through, they buy real tickets on those dates.
Example: a Livingstone lodge manager and a US conference
Now a Zambian lodge manager in Livingstone, invited to a tourism trade show in the United States. Her interview will be in Johannesburg.[1] As a Zambian she needs no South African visa for a short stay.[8]
She does not need a flight reservation for the interview, and we would tell her so. What she needs is the DS-160, proof of her job and pay, and her employer's letter. If her company insists on a printed itinerary for its own approval process, a $9 reservation does no harm, as long as she calls it a reservation.
Expats on the Copperbelt and in Livingstone
Mining and tourism bring many foreign workers to Zambia's provinces: Indian, South African, Zimbabwean, Chinese and Filipino staff among them. The same residence rules apply as in the capital, but missing documents cost you more when the embassy is a long drive away.
- Permit validity. Your Zambian permit must still have three months or more to run when you leave Schengen, according to Germany's list.[4] Renew first if you are close.
- Where you live decides where you apply. The Netherlands takes Zambian applications only from Zambia residents; visitors must apply at home.[5]
- Not returning to Zambia? Germany then wants evidence that you may enter your onward destination.[4] Your reservation's return leg should end there.
- South Africa transit or interview. Zambian citizens are exempt for 90 days a year; foreign residents should check their own entry rules.[8]
What to pack for the appointment trip
A wasted journey from Chingola or Mongu costs far more than a missing photocopy, so pack the night before with the checklist open. For the flight part of the file, bring two printed copies of the reservation, one for the file and one for you, with every traveller's name visible. Jot the booking code and carrier somewhere handy in case an officer asks.
Bring originals and copies of your Zambian residence papers if you are not a citizen, plus the payslips, bank statements and employer letter the German list describes.[4] Have kwacha cash or a Visa or Mastercard ready for Germany's 90-euro fee.[4] Before you walk in, pull the booking up once more on the carrier's website. If anything has changed, you can still sort it out before you walk in.

Timing a reservation around a long journey
Book the reservation last. Holds run for up to 2 weeks, with each carrier choosing the exact length. If you travel from Solwezi to Lusaka on a Sunday for a Tuesday appointment, order on the Friday or Saturday before, from your phone. That keeps it live while the embassy or VFS looks at it.
The appointment itself is the opposite: get it early. Brussels sets the window: no earlier than six months out, and with at least 15 clear days to spare; a decision normally takes 15 days and can take 45.[13] If a decision is still pending when your reservation lapses, order a fresh one only if the embassy asks for updated plans.
Mistakes provincial applicants make
- Turning up in Lusaka with one parent for a child's German visa.
- Ordering the reservation weeks early because the trip to the capital is far off.
- Assuming the US still interviews in Lusaka. It moved to Johannesburg on 1 August 2026.[1]
- A route that makes no sense for where you live, such as a Livingstone family flying from Ndola.
- Buying a non-refundable ticket before the decision, against the German Embassy's own advice.[4]
Zambia FAQ for applicants outside Lusaka
Is there anywhere on the Copperbelt to apply for a Schengen visa?
No official page we checked in October 2026 mentioned one. The German Embassy and the Swedish VFS centre that also takes Dutch applications are both in Lusaka. Plan for a trip to the capital, and check the VFS website for your destination before you assume otherwise, since centres do occasionally open or move.
Can I fly from Ndola to Johannesburg for a US interview?
The Zambia Airports Corporation's Ndola schedule shows Airlink services to Johannesburg, so yes, a direct trip south is possible. From 1 August 2026, routine US applicants in Zambia are directed to Johannesburg. South Africa lets Zambian citizens in visa-free for up to 90 days per year.
Does the reservation have to start in Lusaka?
No. It should start where you would actually fly from. For Copperbelt residents that is often Ndola, for Southern Province often Livingstone. What matters is that the dates match your form, insurance and leave letter, and that the route is believable for someone living where you live.
Who decides a Swedish visa applied for in Zambia?
The Swedish Embassy says its Nairobi embassy is a migration hub that handles all Schengen applications from Zambia, and that the Lusaka embassy no longer handles them. You still submit at VFS Global in Lusaka. Allow for the file travelling, and do not buy a non-refundable fare before the decision.
How do I pay from Zambia?
By debit or credit card on our website, through the Razorpay checkout. The price is $9 for each person on the booking, whether one way or return; multi-city trips cost $9 per pair of legs. Cash is not possible; we run no desk or agent in the country.
Can I board a plane in Ndola with this document?
No. The seat is held in the airline's system, yet no fare has been paid, and an unpaid booking cannot be checked in. After your visa is granted, buy a proper ticket. Many people buy the same routing they used on the reservation, but nothing obliges you to.
How early should I order before a long trip to Lusaka?
Two or three days before the appointment, not when you book the bus or flight to the capital. The airline sets the hold period, which is up to 2 weeks and can be shorter. Ordering late keeps the PNR live on the day an officer checks it.
