Why consulates ask for a hotel reservation
A consulate needs to see where you will sleep for every night of the trip. For a hotel stay, the usual evidence is a hotel reservation – which is why "hotel reservation for visa" and "hotel booking for visa application" appear on so many checklists.
Schengen visas
The EU Visa Code (Regulation 810/2009) lists accommodation among the supporting documents for a short-stay visa: Article 14 asks for documents in relation to accommodation, or proof of means to cover it, and Annex II gives examples – a document from the establishment providing the accommodation, or an invitation from a host.[1] Each member state turns this into its own checklist:
- Germany (missions in India): the tourism checklist asks for proof of accommodation – hotel reservations, a holiday home rental or a campus residence reservation – and, if you visit several member states, proof of accommodation in each of them.[2]
- Netherlands: the tourism checklist asks for a hotel reservation or rental agreement for the entire duration of your trip.[3]
Checklists at VFS Global and BLS centres follow the requirements of the country you apply to, so always use the checklist for your destination and the centre where you submit.
Other visas that ask for accommodation
- UAE: the official government portal says licensed travel agents and hotels in the UAE can arrange a tourist visa when you buy the ticket through them and keep a hotel reservation with that hotel.[4]
- Thailand: the Royal Thai e-Visa tourist visa (TR) checklist lists "proof of accommodation in Thailand", for example accommodation bookings or invitation letters from family or friends.[5] Whether you need a visa at all depends on your nationality, so check the current rules first.
When you do not need a hotel booking
Checklists accept other proof if you are not staying in a hotel. Germany accepts proof of sponsorship and/or private accommodation from a host, with the host's signed confirmation, proof of address and a copy of their passport or German ID card.[2] The Netherlands accepts a proof of sponsorship and/or private accommodation form, or proof that you own property there.[3] If you are on a package tour, the tour operator's booking usually covers accommodation. Submit what is true for your trip.
Dummy hotel booking price: per stay, per traveller
Each hotel stay is priced at the same local price as one flight reservation. It is charged per hotel stay, per traveller – not per night – so a two-night stay and a two-week stay in the same hotel cost the same.

Add it to your flight reservation
Most visa files need both flights and accommodation. On the booking form, choose "Add dummy hotel booking" and enter the hotel city, check-in and check-out dates. Worked examples
- 1 traveller, flight reservation + 1 hotel stay: ₹699 + ₹699 = ₹1,398 ($9 + $9 = $18).
- 2 travellers, Paris then Rome, flight + 2 hotel stays: 2 × (₹699 + 2 × ₹699) = ₹4,194 (2 × ($9 + 2 × $9) = $54).

What the hotel booking must show
A consulate reads your documents together. The hotel booking should agree with your application form, flight reservation, travel insurance and cover letter.
- Guest names exactly as in the passport – same spelling and order, for every traveller the booking covers.
- Hotel name and full address, so the consulate can see the city and that it matches your itinerary.
- Check-in and check-out dates that match your arrival and departure in that city. The first check-in should line up with your inbound flight and the last check-out with your return flight.
- Dates consistent with your travel insurance, which must cover the whole stay.
- A booking or confirmation reference for the reservation.
Multi-city trips: one booking per city
If you travel through several cities or countries, you need accommodation for each – Germany's checklist says so explicitly for several member states.[2] Order one hotel stay per city, with dates that run on from one to the next without gaps or overlaps. Each stay is priced separately, per stay. If your route is Delhi → Paris → Rome → Delhi, that is one flight reservation and two hotel stays. Never submit an edited or invented confirmationFree "hotel confirmation generators" produce a document with no booking behind it. How to check your hotel booking before submitting
- Open the confirmation email as soon as it arrives.
- Compare every guest name, letter by letter, with the passport.
- Check the hotel name, city and address against your itinerary and cover letter.
- Check that check-in and check-out dates match your flight reservation, the dates on your visa form and your travel insurance.
- For multi-city trips, put the stays in order and make sure every night between arrival and departure is covered once.
