Kenya Airways sits at the centre of a lot of visa files we see. Kenyan applicants put it in Schengen and UK plans because it flies nonstop from Nairobi to Amsterdam, Paris and London. Indian applicants put it in Kenya eTA forms and safari itineraries because it links Mumbai with Nairobi. And travellers heading elsewhere in Africa use Nairobi as the connecting point. This guide walks through how a Kenya Airways booking behaves before it is paid for, what the airline's own pages say about holding a fare, how to look a booking up on kenya-airways.com, and which official checklists accept a reservation at all. Can you hold a Kenya Airways fare without paying for it?
Yes, and that makes Kenya Airways unusual among the carriers we write about. Its Time to Think product lets you place a booking on hold and pay later, for a fee.[2] Online, the hold can last up to 72 hours. Through a Kenya Airways office it can stretch to 21 days. The airline adds that the hold period is worked out from your departure date, so a trip leaving soon gets less time.
A few conditions matter for visa applicants. The fee is charged per passenger and is not part of the fare. It is not refunded unless the airline itself cancels the flight. You can buy it up to 24 hours before departure, and to finish the purchase you go back to Manage My Booking and pay.[2] If you don't pay, the booking lapses.
So when is Time to Think the better choice? If you already know you will fly Kenya Airways and want to protect today's fare, it is a sensible buy. You get a real airline hold, straight from the carrier. The catch for a visa file is timing. Seventy-two hours rarely covers the gap between booking and appointment, let alone the wait for a decision. Twenty-one days through an office is more useful, but it means a visit or a call, and the fee for a family of four on an international route already comes to $140 at the listed rate.
Our reservation fills a different need. For $9 a head you get a held booking carrying a live PNR, with each traveller named, sent by email in roughly 10 minutes. It is not a ticket and it won't protect a fare. Kenya Airways, not us, sets how long it lasts, up to 2 weeks at most, which is why we tell people to order it a day or two before the appointment.
Does the 24-hour refund rule help with a visa?
Usually not. Kenya Airways publishes a 24-hour full-refund policy, but it exists because of US Department of Transportation rules. It covers flights to or from the United States, booked on the airline's own website, departing seven or more days after the booking date.[3] A Nairobi–Amsterdam or Mumbai–Nairobi trip does not qualify.
Even where it does apply, the airline asks you not to start the refund from Manage My Booking. You fill in its online refund form and mention the 24-hour policy, and it says the request is processed within seven days.[3] That is fine for a genuine change of plan. As a way to produce a document for a consulate, it means paying the whole fare first and hoping nothing slips.
Which visa applications usually involve Kenya Airways?
Three groups of travellers bring us Kenya Airways itineraries most often.
Kenyans applying for Europe or the UK. Kenya Airways says it flies direct from Nairobi to London, to Amsterdam and to Paris. From 1 September 2025 it added KQ164, which runs Nairobi–Paris–Amsterdam on certain days, alongside five weekly nonstop flights to each of Amsterdam and Paris.[5][7] For a Kenyan applying to the Netherlands or France, that makes a nonstop Kenya Airways round trip the most natural flight plan to show.
Indians visiting Kenya. The airline states it operates direct flights between Nairobi and Mumbai, with an average time of about six and a quarter hours.[6] Indian passport holders need a Kenya eTA, and the eTA form asks for an arrival and departure itinerary, which is where a reservation comes in.[9] Our Kenya visa guide covers that application in full.
Travellers connecting through Nairobi. Kenya Airways' India site shows fares from India to places such as Mauritius, Dar es Salaam, Lusaka, Entebbe and Cape Town, all through its Nairobi hub.[16] If your trip ends in Tanzania or South Africa, the reservation should show the whole journey, not just the first flight. Kenya's eTA rules exempt passengers who transit through the country without leaving the airport precincts, whether they stay on the same aircraft or change planes.[15] Your final destination's own visa rules still apply, so check those separately.
What do official checklists say about flights?
The airline on the booking matters less than what your checklist asks for. These are the rules we checked this month for the destinations Kenya Airways passengers apply to most.

If a checklist you are handed asks for a "confirmed" or "paid" ticket, read that literally. A held reservation may not satisfy it, and in that case Time to Think or a flexible fare bought from the airline is the honest route. How do you check a Kenya Airways reservation online?
Look it up yourself before you submit anything. It takes a couple of minutes.
- Go to Manage Booking on kenya-airways.com. It sits under Book & Manage, and the same box opens from the "Manage your booking" button on most pages.[1]
- Enter the booking reference. The form asks for the 6-character code from your PDF, a mix of letters and numbers.
- Enter the last name exactly as printed on the reservation.
- Compare every detail: names, flight numbers, dates, the routing through Nairobi and the arrival city.
- Take a dated screenshot. It is handy if the visa centre asks how you confirmed the booking.
Kenya Airways' FAQ adds two points worth knowing. Bookings changed offline can't then be changed online, and a booking with more than nine passengers can't be modified through the website.[4] Neither affects a simple lookup, but large family or group files may need the call centre. If the lookup fails, check the surname spelling first, then whether the reservation is held on a partner airline. How should names appear on a Kenya Airways booking?
Copy them from the passport's data page, in the same order and spelling. Manage Booking searches by last name, so that field has to be right.[1]
- Kenyan passports with several names. Put the surname shown on the passport in the last-name field, and the remaining names as given names. Don't promote a middle name to the surname.
- Indian passports with one name. Blank surname field? Send us the passport's exact layout, then copy that same layout onto the eTA form.
- Children and infants. Each child travelling should be on the reservation with their own passport name, even a baby on a lap.
- Recently married. Book under whatever name today's passport carries.

Our honest view: for a checklist that wants a reservation or itinerary, a held booking from us does the job at the lowest cost. If you are certain of the trip and the fare is good, Time to Think is worth paying for. If the checklist insists on a paid ticket, buy a fare whose refund terms you can live with.
When should you book it?
Close to the appointment. Say your Netherlands appointment at the visa centre in Nairobi is on 20 November. We'd order the reservation on the 18th or 19th, check it on kenya-airways.com the same evening, and print it then.
For the travel dates themselves, use your real plan. For Schengen, you may file as early as six months out, and the last sensible day to file is 15 days before you go.[12] For a Kenya eTA, the official site gives three working days as the usual processing time, so allow a margin before your Mumbai departure.[9]
What mistakes do we see with Kenya Airways itineraries?
- Only the first leg shown. A Mumbai–Nairobi booking for someone going on to Zanzibar leaves the officer guessing.
- Return outside the visa period. If you ask for 14 days in Schengen, the flights should cover 14 days.
- Applying to the wrong consulate. Arriving in Paris but spending most nights in Germany points to Germany.
- One booking, several applicants. Everyone on the application needs to be on a reservation.
- Altered PDFs. Never edit a reservation. Ask for a corrected one instead.
What happens once the visa is approved?
You buy a real ticket for the trip you are taking, on Kenya Airways or anyone else. Keep one practical point from Kenya Airways' FAQ in mind if you pay by card: the airline may ask you to show the card used for the booking at check-in, and if the cardholder isn't travelling, a copy with a signed authorisation can be presented instead.[4] If a relative in another country is paying for your flights, sort that out early.
Also check entry rules for every country on the route, including transit points. Kenya Airways' travel requirements page has a passport and visa checker and warns that rules can change without notice.[8]
How to get a Kenya Airways-route reservation from us

Kenya Airways reservation questions
Is a Kenya Airways dummy ticket a real booking?
It is a real reservation in the airline system, with a PNR, your names and your flights, but the fare is unpaid, so you can't fly on it. That is why we call it a flight reservation. Describe it the same way on your form and in any cover letter, and buy your actual travel once the visa decision arrives.
What do I need to find my booking on kenya-airways.com?
The 6-character booking reference and the passenger's last name. Both go into the Manage Booking box. Match the surname letter for letter with the reservation. Lookups that return nothing almost always trace back to a spelling slip or names entered the wrong way round.
Is Time to Think better than a reservation from you?
It depends on what you need. Time to Think protects a fare you intend to buy and comes straight from the airline, but online holds last at most 72 hours and the fee isn't refundable. Ours costs $9, isn't tied to buying from Kenya Airways and is timed to your appointment. Neither one is a paid ticket.
Does the Kenya eTA accept a flight reservation?
The official eTA site asks for a travel itinerary showing arrival and departure, together with an accommodation confirmation. It doesn't ask for a paid ticket. A reservation that matches your real dates fits that wording. Admission is still decided at the border, so carry your documents when you land.
Should a Kenyan add flights to a UK visitor application?
Not normally. GOV.UK's supporting-documents guide treats flight bookings as having little value for a standard visit, transit applications aside. Some people still attach one to show their dates. If you do, make sure it matches the dates on the form, and don't buy a ticket before the decision.
Can you show a Nairobi connection to another African country?
Yes. Give us the full route, for example Mumbai to Nairobi to Dar es Salaam and back, and we hold it as one itinerary where the airline's schedule allows. Showing the whole journey helps the officer see where you are actually going and when you leave.
How long will the reservation stay active?
Two weeks at the very most, and Kenya Airways sets the actual period, which can be shorter on some routes. So order it a day or two ahead of the appointment and look it up on kenya-airways.com that night; ordering weeks early defeats the purpose.
