A cover letter is the one place in a visa file where you explain the trip in your own words. The flight reservation is the one place where the trip is pinned to dates, cities and a booking reference. When the two agree, the officer reads your file quickly. When they disagree, even by a day, the officer has to stop and wonder which one is true. This guide shows how to write the letter around the reservation, what official checklists actually ask the letter to cover, and gives you a sample you can adapt. Every rule is linked to its official source at the end.
Key facts: cover letters and flight reservations
| Question | What the official sources say |
|---|---|
| Does EU law mention travel plans? | Yes. For tourism, Annex II of the Visa Code lists documents about the itinerary, including "any other appropriate document indicating the envisaged travel plans".[1] |
| Who asks for a cover letter? | German missions in India list a "Personal covering letter" with intended means of transport and itinerary.[2] Portugal (Goa) and Spain (Mumbai) also ask for one.[3][4] |
| Is a paid flight needed? | Netherlands: no "paid travel ticket" is needed.[6] Spain's Mumbai consulate suggests waiting for the visa before buying.[4] |
| Does a booked flight speed things up? | Portugal (Goa): a booked flight brings no "preferred processing".[3] |
| UK visitor visa? | GOV.UK calls flight bookings "less useful" evidence, except for transit.[8] |
| How early can I apply for Schengen? | Between six months and 15 days ahead of travel.[9] |
What should a visa cover letter say about your flights?
Three things: when you arrive, where you go and when you leave. The letter does not need flight numbers or departure times. It needs the dates and cities to match the reservation exactly, plus the booking reference so the officer can tie the two together.
The German checklist for India is the clearest example of why this matters. It puts the covering letter on the same line as "Proof of intended means of transport and itinerary", which tells you the officer reads them as a pair.[2] The Portugal checklist from Goa goes further. It wants a letter that introduces you, explains the purpose and the complete plan of the visit, and refers to the transport proof and itinerary. It also asks you to name anyone travelling with you, with passport numbers and your relationship.[3]
Our rule of thumb at the desk: anyone reading only your letter should be able to sketch your route on a map, and anyone reading only the reservation should be able to guess what your letter says. If either half needs the other to make sense, something is missing.
Which consulates ask for a cover letter?
Not all of them, and the wording varies. Here is what the checklists we checked in October 2026 say, side by side. Notice that none of them asks for a paid flight in the letter itself.
| Mission or route | Cover letter wording | Flight wording |
|---|---|---|
| Germany (India) | "Personal covering letter" with intended means of transport and itinerary; also a detailed travel itinerary[2] | "Flight reservation"[2] |
| Portugal (Goa) | Personal covering letter: who you are, purpose, complete plan, companions' names and passport numbers[3] | A round-trip "flight reservation" naming the traveller[3] |
| Spain (Mumbai) | "Cover letter (account of the purpose of the visit)"[4] | "Flight bookings (roundtrip)" plus internal travel[4] |
| Netherlands (VFS India) | Not a separate item; a travel agency certificate or other document showing your plans is listed instead[5] | "Flight reservation of return or round ticket"[5] |
| UK visitor visa | No formal letter required; GOV.UK suggests giving details of your circumstances and planned activities[8] | Flight bookings described as less useful evidence, unless transiting[8] |
Even where the checklist does not ask for one, a short letter rarely hurts on a Schengen file, because the Visa Code itself accepts "any other appropriate document" showing your travel plans.[1] For the UK we would keep it brief, or skip it, and put the detail where GOV.UK asks for it. If you are deciding between a letter and other proof, our page on the reservation versus the covering letter compares the two.
How should you describe a flight reservation in the letter?
Call it what it is: a flight reservation. Not a ticket, not a confirmed booking, not a "dummy". The word "ticket" tells the officer you have paid and can board, and a held reservation is neither. Writing it accurately costs you nothing, because the checklists above ask for reservations in the first place.
A good sentence names the airline, the booking reference and the two flight dates, then says plainly that you will pay for the flights after a decision. Even the Spanish consulate in Mumbai tells applicants to hold back on paying for flights until a decision is made, so the sentence is routine.[4] The Dutch immigration service describes the return document it expects at the border as "an option on or (provisional) reservation of a return ticket", which is the same idea in official language.[7]
Plain wording that works: "I enclose a flight reservation with [airline], booking reference [PNR], for [city] to [city] on [date] and [city] to [city] on [date]. I will pay for the flights once my visa application has been decided."
What we would never write: anything implying you have bought seats, or a booking reference you have not checked yourself. If the officer looks up the PNR on the airline's site and it does not match the letter, the letter loses its value. Our guide on checking a reservation before you submit takes two minutes.
What must match between the letter and the reservation?
Every fact that appears in both. This is the table we run through before anyone signs:
| In your cover letter | On the flight reservation | Also check against |
|---|---|---|
| Arrival date in the destination | Outbound flight date (and arrival date if it lands the next day) | First hotel check-in, insurance start, application form |
| Departure date from the destination | Return flight date | Last hotel check-out, insurance end, leave letter |
| Entry city and exit city | Arrival airport and departure airport | Main destination on the form |
| Names of everyone travelling | Passenger names, spelt as in each passport | Each traveller's passport and form |
| Number of nights in each place | Internal flights or connections, if any | Each hotel booking; train or bus bookings |
| Booking reference | PNR printed on the document | Airline's "Manage booking" page |
| How the trip is paid for | Not shown | Bank statements, sponsor letter |
Two dates trip people up more than any other. The first is an overnight flight: leave Bengaluru at 01:30 on the 10th and you land in Europe on the 10th, but leave Vienna late on the 20th and you may land home on the 21st. Write the arrival and departure dates for the destination, not for home. The second is the day the leave letter starts. Your employer usually approves leave from the day you fly, so if your reservation leaves at 01:30, the leave has to start that day too. The leave letter guide covers that side.
Sample cover letter built around a flight reservation
Below is a template we wrote for a Schengen tourism application to Germany. The person, places and dates are illustrative only; replace everything in square brackets with your own details and remove anything that does not apply. The route is a simple example: seven nights in Germany and three in Austria, so Germany is the main destination.

Subject: Application for a short-stay Schengen visa (tourism), 10 to 20 March 2027
Dear Sir or Madam,
I am applying for a short-stay Schengen visa for a holiday in Germany and Austria from 10 to 20 March 2027. I work as a [job title] at [employer] in [city], where I have been employed since [year]. My leave for these dates has been approved, and my employer's letter is enclosed.
My plan is to spend four nights in Munich, three nights in Berlin and three nights in Vienna. Germany is my main destination, with seven of my ten nights there, which is why I am applying to the German mission.
Itinerary:
10 March: fly from Bengaluru to Munich; four nights at [hotel], Munich.
14 March: train from Munich to Berlin; three nights at [hotel], Berlin.
17 March: fly from Berlin to Vienna; three nights at [hotel], Vienna.
20 March: fly from Vienna to Bengaluru, arriving on 21 March.
I enclose a flight reservation with [airline], booking reference [PNR], showing my outbound and return flights on these dates, together with reservations for the Berlin to Vienna flight and the Munich to Berlin train. I will pay for the flights once my visa application has been decided.
My travel medical insurance from [insurer], policy [number], covers 10 to 21 March 2027 in all Schengen states with medical cover of at least EUR 30,000. I will meet the cost of the trip myself; my bank statements for the last three months and my income tax returns are enclosed.
I will return to Bengaluru on 21 March 2027 and resume work on [date]. My ties to India include my employment, [family or property, if relevant].
Enclosed: application form, passport and copies, photographs, this letter, employer's leave letter, flight reservation, train reservation, hotel reservations, travel insurance, bank statements, income tax returns, [any others].
Thank you for considering my application.
Yours faithfully,

A few notes on the template. It names the main destination and gives the reason in one line, which saves the officer counting nights. It keeps the itinerary to one line per move. It mentions the insurance dates, ending on the day you land home, because that is the date the policy has to reach. And it calls the flight document a reservation every time.

How to write the letter around your itinerary, step by step
- Fix the route first. Decide the cities, nights and main destination before you write anything. For a trip through several countries, our guide to choosing the Schengen country shows how the route decides the consulate.
- Book the reservation close to the appointment. Reservations like ours stay valid for up to 2 weeks; the exact period is the airline's call. We would book it two or three days before you submit, not three weeks.
- Copy the dates from the reservation, not from memory. Open the PDF and the airline's "Manage booking" page and type the dates from there.
- Write one line per move. Date, transport, from, to, nights. Officers skim; make skimming easy.
- Add the reference numbers. PNR for flights, policy number for insurance, hotel confirmation numbers if you have them.
- Say who pays. One sentence pointing to your statements or your sponsor. Our bank statement guide explains how the funds should line up with the trip length.
- List the enclosures in checklist order. Several checklists ask for documents in a fixed order; Portugal (Goa) says so outright.[3]
- Sign and date it. Each adult traveller can sign their own, or one letter can cover a family if it names everyone. Check whether your centre wants one per applicant.
What are the common cover letter mistakes?
- Calling the reservation a ticket. It misdescribes the document. Write "flight reservation".
- Letter dates that differ from the reservation by a day, usually because of an overnight flight.
- A different main destination in the letter and on the form. The letter says "mainly Italy" while the form says France.
- A route that skips a leg. The letter mentions Vienna, but nothing shows how you get there. Spain's Mumbai list asks for internal travel reservations for this reason.[4]
- Old dates after a rebooking. You changed the flights and forgot the letter. Reprint both together.
- Generic praise of the country. Officers want the plan, not a brochure. Two sentences of purpose are enough.
- Promises you cannot keep, such as stating you have bought flights or holding a hotel you never reserved.
What if your plans change after you submit?
Before the decision, tell the visa centre or mission if anything material changes, and ask how they want updated documents. Do not quietly let the letter and the reservation drift apart. After the decision, buy your real flights for the dates the visa allows. If the visa is shorter than the trip you asked for, plan the real journey inside it. Our page on changing reservation dates explains how we reissue a reservation, and how long a reservation stays valid covers timing.
Does the same approach work for a UK visitor visa?
Partly. The habit of making every document tell one story works everywhere. The details do not. On the UK side, GOV.UK says hotel and flight bookings (transit aside) are less useful as evidence for a visit.[8] So a UK cover letter should focus on your circumstances at home and what you will do in the UK, which is exactly what GOV.UK asks for. Our UK visa guide goes through it. For other countries, check the relevant requirements on our requirements by country page before you write.
Getting a reservation that matches your letter
Our reservations carry a live PNR, are made out in the names and dates you type in, and reach your inbox in about 10 minutes. Open the airline's "Manage booking" page and you will see the same booking. What you get is a held seat, unpaid and unticketed, so it belongs in your visa file and not at the boarding gate.
One traveller pays one fixed price, single or return; longer multi-city routes add a charge for every pair of legs. Razorpay takes UPI, cards and netbanking, and you can follow progress at /track.html. The price page has the detail, and flight reservation for visa explains the process. If you also need accommodation proof, see our hotel booking service.
Write the letter once, with the right dates
Book the reservation first, then copy its dates into your letter. ₹699 / $9 per passenger.
Honesty first: the letter should describe the trip you really intend to take. No letter or reservation guarantees a visa; the consulate decides.
Cover letter and flight itinerary: frequently asked questions
Should my cover letter include the PNR?
Yes, if you are enclosing a flight reservation. One line with the airline name, the booking reference and the two flight dates lets the officer match the letter to the document in seconds. It also shows you have nothing to hide about the reservation. Before printing, look the booking up on the airline's site so the reference and dates you quote are current.
Can I write "dummy ticket" in a visa cover letter?
No. "Dummy ticket" is a shopping term, not a description an officer recognises, and "ticket" suggests a paid seat. Write "flight reservation" or "flight itinerary" and give the booking reference. That is accurate, and it matches what checklists such as Germany's ("Flight reservation") and Portugal's ("Roundtrip flight reservation") actually ask for.
Do I need a cover letter if the checklist does not ask for one?
It is optional then. For a Schengen visa, a short letter is a reasonable way to give the "appropriate document indicating the envisaged travel plans" that Annex II of the Visa Code mentions. Keep it to one page. For a UK visitor visa we would usually leave it out and put the detail into the form, as GOV.UK suggests.
Can one cover letter cover my whole family?
Often, yes, if it names every traveller with passport numbers and relationships, as Portugal's Goa checklist asks. Some centres prefer one letter per applicant, so check your own list. The family's reservation should carry every name exactly as in each passport, and children travelling with one parent usually need extra consent documents.
What if my flight dates change after I submit?
Contact the visa centre or mission and ask how to send updated documents. Then reissue the reservation and the letter together so they still agree. Do not leave an old letter in the file with new flights. After the visa is granted, buy your real flights for dates inside the visa's validity.
Should the letter say I have not paid for flights?
Saying you will pay for the flights after the decision is honest and normal. Spain's Mumbai consulate recommends waiting for the decision before paying for flights, and Portugal's Goa checklist says paying early earns no faster handling. One sentence is enough; there is no need to apologise for it.
How long should a visa cover letter be?
One page is plenty for most tourist trips. Give purpose, dates, route with nights, main destination, references for flights and insurance, who pays, your return plans and a list of enclosures. Officers read a lot of letters, and a clear itinerary helps them more than extra paragraphs about why you love the country.
