Of all the papers in a tourist visa file, the leave letter is the one you don't write yourself. Your HR team or manager does, usually in a hurry, often from a template that was last updated years ago. That is exactly why it so often disagrees with the flight reservation by a day or two. This guide sets out what the consulates actually call the document, the fields their checklists want, and how to get your employer's dates and your flight dates to say the same thing. Every official rule quoted here is linked in the sources at the end.
Key facts: leave letters and flight dates
| Question | Short answer from official pages |
|---|---|
| Is a leave letter on Schengen checklists? | Yes, in India. Germany asks for a "Leave Sanction letter from applicant's company".[1] The Netherlands lists an "employers statement on approval for holidays".[2] |
| Must it state the dates? | Italy (Kolkata) wants "the dates of leave sanctioned".[5] Switzerland wants travel dates and purpose.[4] Portugal (Goa) wants the number of days of leave authorised.[3] |
| Is it called an NOC anywhere? | Switzerland asks for a "'No objection statement'" inside the employer's letter.[4] Students give a school or university NOC for Germany and Portugal.[1][3] |
| UK and Canada? | They ask for an employer letter about your job, salary and start date rather than a leave approval.[6][7] |
| How recent must it be? | Canada: dated no earlier than 3 months before you apply.[7] The Schengen checklists we read set no age limit. |
| Paid flights needed? | Netherlands advises reservations you can cancel.[2] Italy (Kolkata) recommends fully paid tickets.[5] Follow your own mission's list. |
What is a leave letter, and is it the same as an NOC?
Mostly, yes. Indian employers and consulates use several names for one idea: a signed note from your organisation confirming that you work there and have permission to be away on particular dates. "Leave sanction letter", "leave approval letter", "employer's statement on approval for holidays" and "no objection certificate" all point at the same paper. What changes from one mission to another is the detail it must contain.
It is not the same as a plain employment certificate. An employment certificate says you have a job. A leave letter says you have a job and your employer expects you back on a certain day. For a short-stay visa that second part matters, because the officer is weighing whether you will return home when the trip ends. A letter that names a date you are due back at your desk is one of the clearest pieces of evidence you can hand over.
Students get a version of their own. Germany's India checklist asks students for a "no objection certificate from School / University", and Portugal's Goa list asks for the same from the "college, school or university".[1][3] The dates logic below applies to them just the same; replace "employer" with "institution".
What exactly do official checklists ask for?
Here is the wording we found on official checklists in October 2026, put side by side. The quotes are short on purpose; open the source to read each item in full.
| Mission | What it calls the document | What the letter must show |
|---|---|---|
| Germany (missions in India) | "employers' statement on approval for holidays (Leave Sanction letter from applicant's company)"[1] | Listed with pay slips and the employment contract; no field list given |
| Netherlands (VFS India) | "employers statement on approval for holidays"[2] | Listed with payslips and the employment contract |
| Portugal (Consulate General, Goa) | "Employer's letter on approval for holidays"[3] | May state designation, profile, residence in India, purpose and itinerary, and days of leave authorised; remote workers should say so in the letter |
| Switzerland (Embassy in India, visitor checklist) | "Introduction letter" from the employer[4] | Business letterhead, signed and stamped by HR or directorate, position and length of service, a no objection statement, travel dates and purpose |
| Italy (Consulate General, Kolkata) | "Leave Sanction Letter from employer"[5] | Dates of leave sanctioned on company letterhead; name, designation and signature of the authorised signatory |
| United Kingdom (GOV.UK) | A letter from your employer[6] | On headed paper, giving your role, salary and length of employment |
| Canada (IRCC) | Letter from employer[7] | Dated within 3 months of applying, on letterhead, with your start date, job description, salary and a manager's signature |
The Schengen missions in India treat leave approval as a document in its own right; the UK and Canada care more about the job itself. If you are applying to both, ask HR for one letter that covers role, salary, start date and the approved leave. It saves a second request later.
Which dates must the leave letter cover?
Three dates do the work: the first day of leave, the last day of leave, and the day you are back at work. Each has a partner on your flight reservation.
| Leave letter field | Partner on the flight reservation | Rule of thumb |
|---|---|---|
| Leave starts | Departure date of your first flight from home | Same day or earlier. Never later. |
| Leave ends | Arrival date of your last flight home | Same day or later. Watch flights that land after midnight. |
| Resume duty on | The day after you land | Should fall after the arrival date, not on it, unless you land early in the morning and really plan to work. |
| Number of days | Calendar days from first departure to last arrival | Count both end days. If HR counts working days only, ask them to add the calendar dates too. |
| Destination and purpose | Arrival and departure airports | The country named should be where the flights go. |
The trouble almost always comes from the clock. Look at the sample below: a Mumbai to Prague reservation that leaves Mumbai at 05:10 on 12 November. You will be at the airport around two in the morning, which means you will leave home on the night of the 11th. If you are working a full shift on the 11th, fine. If you are not, ask for leave from the 11th, because that is the day you are really gone.

Now the way home. The KLM sample further down leaves Amsterdam at 11:15 on 28 January and lands in Mumbai at 00:30 on the 29th. Someone who copies "28 January" from the departure line as their last day of leave has made a mistake: they are still in the air at midnight. The leave should run to the 29th at least, and the resume-duty date should be the 30th or later.
What if your leave and your trip don't line up?
Change the trip, not the letter. Your employer can only confirm leave it has actually approved, and the letter should say exactly that. If HR approved nine days and your planned holiday is twelve, you have three honest options: shorten the trip, ask HR for more leave, or show the extra days as something real, such as a weekend or a public holiday your office observes.
Weekends and holidays are the usual source of a gap that looks odd but isn't. Say your leave is Monday 9 to Friday 20 November and your flights are Saturday 7 to Sunday 22 November. That is a perfectly normal trip. The officer may still wonder about the four extra days, so ask HR to write something like "leave from 9 to 20 November; the applicant will be away from 7 to 22 November, which includes two weekends, and will resume duty on 23 November". One sentence closes the question.
What we would never do is ask HR to write dates they have not approved, or edit a signed letter ourselves. If anyone contacts the signatory to check, the answer has to match the paper.
What else should the letter include?
Take the longest checklist you might face and cover it once. Combining the Swiss, Portuguese and Italian lists gives you this:[3][4][5]
- Company letterhead with the full address and a contact phone or email.
- Your full name as in your passport, employee number if you have one, designation and date of joining.
- A statement that leave has been approved, with the first and last dates, and the date you resume work.
- The destination and purpose of the trip ("tourism in Czechia and Austria").
- A sentence saying the company has no objection to the trip; Switzerland asks for this in so many words.
- For remote workers, a line saying you work remotely, as Portugal's Goa checklist asks, plus your home address.
- Name, designation and signature of the person signing, plus the company stamp. Italy's Kolkata list asks for the signatory's details explicitly.
Here is a short example of the core paragraph. It is illustrative only; your HR team will use its own format.
This is to certify that [full name], passport number [number], has been employed with [company] as [designation] since [date of joining]. Leave has been approved from [first day] to [last day] (inclusive) for a holiday in [country or countries]. [He/She] will resume duty on [date]. The company has no objection to this trip.
[Name of signatory], [designation], [signature and company stamp], [date]
Notice what it leaves out: flight numbers, hotel names and the booking reference. Those belong in your own covering letter, not your employer's. If you are writing that letter too, our cover letter and flight itinerary guide includes a complete sample, which we won't duplicate.
Self-employed, students, retired and remote workers
Self-employed and company owners have nobody to grant them leave. The checklists ask for business proof instead: Germany wants the company's registration certificate with its GST number, and Portugal accepts a business registration or GST certificate, partnership deed or proof of proprietorship.[1][3] Your own covering letter then does the job the leave letter would have done, so state your travel dates there and who runs the business while you are away.
Students need the institution's NOC or enrolment letter. Switzerland asks students over 16 for a copy of the college ID card and an introduction letter from the school, college or university.[4] If the trip falls in term time, a line from the institution confirming the absence is approved helps.
Retired applicants show pension statements rather than any leave letter; both the Netherlands and Swiss lists ask for three months of them.[2][4]
Remote workers are the case people forget. Portugal's Goa checklist specifically asks the employer to mention remote work in the letter, with your complete home address.[3] If you will keep working during the trip, say so honestly; it is not a problem in itself, but leaving it out can make the leave dates look strange.
In what order should you get the documents?
Dates first, letter second, reservation last. That order sounds backwards until you look at how long each document lasts.
- Agree the dates with your manager. Get the leave approved in your company's system before anything else. Nothing else should be printed until this is settled.
- Check the dates against flight timings. Look up real schedules on the route. If the only sensible flight leaves at 02:00, adjust the leave start now.
- Request the letter. Send HR the exact first and last day, the resume date, the country and the purpose in writing, so nobody has to guess. Ask for the no objection sentence if you are applying to Switzerland.
- Book the appointment. For Schengen, the window opens six months before your trip and closes 15 days before it.[8]
- Book the flight reservation a few days before you submit. A held seat lasts up to 2 weeks at most, and the exact length is the airline's call. Your letter can be weeks old; the reservation should be fresh.
- Lay the documents side by side. Check every date in the table above. Then run the reservation through our PNR check guide.
- Line up the rest. Insurance should span the same days; see travel insurance and flight dates. Funds should suit the trip length; see bank statements and the itinerary.

How old can the leave letter be?
The Schengen checklists we read for India give no expiry for the leave letter. Canada's visitor page does: the employer letter should be dated "no earlier than 3 months before you apply".[7] In practice we would aim for a letter issued within a month of your appointment for any destination.
The flight reservation is the opposite. It has a short life and should be booked close to the submission date, which is why we put it last in the order above. If your appointment moves, your letter usually survives; the reservation may need reissuing. Our page on how long a reservation stays valid explains the timing.
Does the leave letter mean you need a paid ticket?
No. The leave letter shows you will come back; it does not change what the mission wants as flight evidence. Germany lists a "Flight reservation".[1] The Netherlands goes as far as advising reservations "which you can cancel" in case of refusal.[2] Portugal's Goa consulate notes that a booked ticket earns no "preferred processing".[3]
One exception you should know about: the Italian consulate in Kolkata's July 2026 list says it is "recommended to provide fully paid and confirmed flight tickets".[5] Ours is a held booking, not a paid fare, so it may fall short of that recommendation. If you apply there, decide whether you are comfortable buying a refundable fare, and read the fare rules before you pay.
What if your dates change after you submit?
Tell the visa centre or mission and ask how they want updated papers. Then ask HR for a revised letter and reissue the reservation for the same new dates, so the file stays consistent. If the visa comes back shorter than the trip you requested, plan the real trip inside the visa and inside your approved leave; buy your actual flights only then. Our guide to changing reservation dates covers the reissue.
Common leave letter mistakes we see
- Leave starting the day after an early-morning flight. The 05:10 departure belongs to the day it leaves.
- Last day of leave copied from the return departure. Check the arrival date at home instead.
- Working days in the letter, calendar days in the trip. "10 working days" and a 14-night trip look like a contradiction without dates.
- No signatory details. A stamp with an illegible signature and no name or designation is weaker than a named HR manager.
- A different country in the letter. HR wrote "Europe" or the wrong country. Name the destination.
Getting a reservation for your approved dates
Once HR has signed, give us the exact outbound and return dates from the letter and we will hold seats on those days. In about 10 minutes it lands in your inbox, live PNR included, ready to open on the airline's "Manage booking" page. It is an unpaid held booking for your visa file and not something to fly on.
Single or return, one passenger means one fee; on a multi-city plan, every further two legs count as another booking. Razorpay handles UPI, card and netbanking payments; your order status lives at /track.html. See pricing for detail and requirements by country for what other missions ask. For a Schengen application you may also want a hotel booking for the same nights.
Leave approved? Hold the flights for those dates
Live PNR, emailed in about 10 minutes. ₹699 / $9 per passenger.
Honesty first: the leave letter and the reservation should describe the trip you really plan. No document guarantees a visa; the consulate decides.
Leave letters and visa itineraries: frequently asked questions
Is a leave letter the same as an NOC for a visa?
For most Indian applicants, yes. "Leave sanction letter", "employer's statement on approval for holidays" and "no objection certificate" describe the same idea: your employer confirms your job and approves time off. Switzerland asks for a "No objection statement" inside the employer's introduction letter, so if you apply there, make sure that sentence is present as well as the dates.
Should the leave start on the day of my flight or the day before?
On the day you stop working. For most daytime flights that is the departure date. If your flight leaves in the small hours, you will leave home the evening before, so ask for leave from that day unless you really will work a full shift first. The leave start must never fall after the outbound flight date shown on your reservation.
My return flight lands after midnight. Which date goes in the letter?
The arrival date. If the flight leaves Europe on the 28th and lands at 00:30 on the 29th, your leave should cover the 29th, and the resume-duty date should be the 30th or later. Copying the departure date from the reservation is the most common error we correct on leave letters.
Does the leave letter need flight numbers or the PNR?
No. Checklists ask the employer for dates, purpose and, in some cases, the itinerary in broad terms such as the countries. Flight numbers and the booking reference belong in your own covering letter and on the reservation itself. Keeping the employer's letter general means it stays valid if a flight time changes.
HR approved fewer days than my trip. What now?
Shorten the trip to fit, or ask for more leave. If the extra days are weekends or public holidays, ask HR to mention them and to give the date you resume duty. Do not submit a reservation for a longer trip than your employer has approved without an explanation, because the officer will compare the two.
I'm self-employed. What replaces the leave letter?
Business proof. Germany asks company owners for the registration certificate with the GST number, and Portugal accepts GST, partnership or proprietorship documents. State your travel dates and who runs the business in your absence in your own covering letter, and keep your flight reservation to those dates.
