An H-1B engineer in Austin, a doctoral student in Ann Arbor and a green card holder in New Jersey share one thing on paper: an Indian passport that needs a visa for most of Europe, for the UK and for Canada. Because you live in America, those applications are lodged in America, and each consulate wants two layers of evidence. One is the usual trip paperwork. The other proves you're lawfully in the US and will go back there. This page covers both, quotes what the official lists say about flights, and is honest about where a held reservation helps and where it is pointless.

What US status papers do consulates want to see?
Proof that you are lawfully resident and that the status will still be there when you fly back. Brussels sets the baseline: a consulate deals with people resident in the territory it covers.[2] For you that's the US, and the consulate or its visa centre wants evidence that your stay here is real.
Germany's checklist for applicants in the US, a PDF dated May 2024 on the German missions' US website, spells it out. It asks for a US alien registration card or a valid US resident visa and lists the categories: A, E, F plus an endorsed I-20, G, H, I, J plus the J-1 document, L, O and R. It also wants proof of address, such as a driver's licence, a utility bill or a lease.[1]
In practice, Indians in the US tend to fall into a few groups:
- Green card holders: the card itself, front and back. The simplest case.
- H-1B and L-1 workers: a valid visa stamp in the passport plus your approval notice and recent pay slips. If the stamp has expired while you've stayed in the US on an extension, read your consulate's list carefully, because Germany's wording refers to a valid visa.
- F-1 students: visa plus an I-20 endorsed for travel, which is exactly what the German list names.
- H-4 and L-2 dependants: your own status papers, plus the principal's, since your status rests on theirs.

What do Schengen consulates in the US say about flights?
Germany's list wants "Confirmed flight (roundtrip)/travel reservations with the name of passenger".[1] The key word is reservation. A held booking with a confirmed status in the airline's system, your name exactly as the passport shows, and dates that match the rest of the file fits that line. The slash suggests other travel reservations may count too, for example if you arrive by train from outside the area, though we'd confirm that with the mission.
The Commission sets the timing for every Schengen state. You can lodge an application no earlier than six months ahead, and it should be in at least 15 days before you fly. A normal decision takes 15 days and can stretch to 45. The adult fee is €90.[2] Insurance must meet the €30,000 floor, and Germany adds that it must be issued in the US or in Germany, with only an insurance confirmation accepted, not an employer letter.[1]

Do US-based Indians need anything special for a UK visitor visa?
Yes, proof of your US residence, and no, not a flight booking. GOV.UK's visitor guide asks applicants to confirm legal residence if they aren't a national of the country they're applying in and their passport doesn't already show that right.[3] An Indian applying from Seattle fits that description, so include your green card or US visa and status papers.
The same guide tells applicants not to rely on flight bookings, transit aside.[3] We'd leave them out. Bank statements, employment letter, pay stubs and a short clear note about the trip carry the file. Our UK visa guide goes into the detail.
How does Canada treat Indians living in the US?
It depends on whether you hold a green card. IRCC's entry requirements say US lawful permanent residents flying in need a valid passport from their country of nationality and a valid green card. Driving across the border, the green card or equivalent proof of US status is enough, without a passport.[4] No visitor visa, no reservation needed.
Everyone else with an Indian passport needs a Canadian visitor visa. India is on the visa-required list and isn't among the 17 countries whose citizens can sometimes use an eTA instead.[4] IRCC's guidance invites an itinerary, which may include flight details.[5] A held reservation is the sensible way to show a Niagara or Banff trip without paying for flights before the visa arrives. What about Dubai and Mexico?
Dubai. GDRFA Dubai offers a visa on arrival to Indian nationals with an ordinary passport who hold a US green card, among other qualifying residence documents. Those documents need at least six months' validity. The stay is 14 days, extendable once for another 14, and the listed fee is AED 253.[6] The page does not mention US visas such as H-1B, so if that's what you hold, apply for a UAE visit visa in advance or check with GDRFA. Mexico. Many Indians in the US hear that a valid US visa lets you visit Mexico without a Mexican one. Mexican consulates in the US publish rules on this, but we could not load their pages from our location in October 2026 to confirm the current wording. Ask your nearest Mexican consulate before booking a Cancún long weekend, and carry your US documents either way.
Do you need anything for trips home to India?
No flight document at all for India itself. Your Indian passport is enough to enter. The paperwork that matters is for coming back to the US: a valid visa stamp where your category needs one, and the status documents your employer or school tells you to carry. That is a matter for your immigration adviser, not for a flight reservation.
Where a reservation can help is a combined trip. Say you're flying Newark to Delhi for Diwali and want a week in Italy on the way back. The Italian application has to be filed in the US before you leave, with dates that cover the Delhi to Rome and Rome to Newark legs. When should you place the order?
Within a few days of your appointment. Validity runs up to 2 weeks per reservation, with the exact window set by the airline, so a booking made when you first grab a slot weeks out may have lapsed by appointment day. We'd order two or three days before.
A worked illustration, not a real client: a VFS slot in Chicago on 6 March for a Munich trip from 2 to 9 April. You'd order on 3 or 4 March with those dates, check it under Manage booking the same evening and print it. If the slot moves, place a new order with fresh dates rather than relying on the old one. How do you prepare the file, step by step?
- Check your US status will still be valid for the whole trip and the return.
- Find the right consulate for your main destination and your place of residence.
- Download its US checklist and note the exact status documents and the flight wording.
- Fix dates that agree with your PTO approval, hotel and insurance.
- Book the reservation 48 to 72 hours before the appointment, names as printed in the Indian passport.
- Look it up yourself on the carrier's site; the verification guide shows the steps.
- Call it what it is in any cover letter: a held flight reservation.
- Buy the real fare only when the visa is in hand.
Where do US-based Indian applicants slip up?
- Applying during a trip home to India instead of from the US, where you reside.
- Expired US visa stamps without checking what the consulate's list says about valid status.
- An I-20 not endorsed for travel, when the German list asks for an endorsed one.
- Single-name passports entered with an invented surname. Ask us how the airline will record it.
- Adding a booking to a UK file, which GOV.UK says not to use as evidence.
- Treating the reservation as a ticket. You can't board with it.

Frequently asked questions
Can I file my Schengen application from India during a visit home?
Usually not if you live in the US. EU guidance ties the application to the mission covering the place you lawfully live. A mission in India may refuse to take the file or ask why you aren't applying in America. File from the US before you leave, and let the dates cover any onward leg from India.
Does Germany accept a reservation from US applicants?
Its US checklist asks for confirmed round-trip flight or travel reservations carrying the passenger's name. A held booking that is confirmed in the airline's system, in your exact passport name, matches that wording. The checklist we read is dated May 2024, so download the current version, and remember the mission makes its own decision.
I'm on H-1B with an expired visa stamp. Can I still apply?
Possibly, but read the list closely. Germany's US checklist refers to a valid US visa in listed categories, so an expired stamp may raise questions even if your status is current. Ask the consulate or visa centre what it accepts, and talk to your employer's immigration attorney about re-entering the US before booking anything.
Do green card holders need a visa for Canada?
No. IRCC says US permanent residents arriving by air need a valid passport from their country of nationality plus a valid green card. By land or water, the green card or equivalent proof of status is enough. Indians in the US without a green card need a Canadian visitor visa.
Should I attach a flight booking to a UK visitor application from the US?
No. GOV.UK puts flight bookings on its list of documents not to use, transit cases aside. What it does want from someone applying outside their own country is confirmation of legal residence there, so include your green card or US visa and status papers.
For how many days will my booking hold?
For a maximum of 2 weeks; each carrier sets the precise expiry on its own booking. The checkout form shows the hold period for your route. Because of that, aim for an order date just before the appointment, not a month earlier, and get a fresh one if the appointment moves.
Can I pay in dollars?
Yes. US customers pay $9 per passenger by card through Razorpay, for a one-way or round-trip reservation. Itineraries with more legs cost $9 per pair. The reservation comes by email in about 10 minutes and shows the carrier's name and a booking reference you can check yourself.
