Dummy Booking for Visa: Flights and Hotels That Agree With Each Other

A dummy booking for a visa usually means two documents: a flight reservation and a hotel reservation, both genuine and in your name, made without paying for the whole trip. They work as a pair. Arrival and departure dates, cities and traveller names must match on both, and match your application form, insurance and cover letter.

Visa files often stumble on small things rather than big ones. The flight lands on the 12th, the hotel starts on the 13th, the insurance ends a day early. Each document is fine alone; together they tell an officer that the plan wasn't thought through. This guide is about the pair: which consulates ask for flights and accommodation together, how to make the two line up, and the order we'd build them in. What does a "dummy booking" cover?

Two things, nearly always. First, flights in and out of the country (or area) you're visiting, held under an airline booking reference. Second, somewhere to stay for each night, shown by a hotel reservation in the traveller's name. For multi-country trips, a third piece often joins them: proof of how you get between cities, such as a train or an internal flight.

The word "dummy" is misleading, and we'd drop it from your vocabulary when you write to a consulate. Both documents should be real reservations for the trip you intend. What makes them different from a paid holiday is only that you haven't paid the full price yet, because the visa isn't decided.

If you are staying with family or friends, you won't need a hotel reservation at all. You'll need what the checklist asks for instead, usually an invitation or host declaration. More on that below.

Which visa checklists ask for flights and hotels together?

A good number. The wording differs, and a few missions are stricter than others. Here is what we found on official pages, last checked October 2026:

Two rows deserve a comment. Islamabad asks for confirmed tickets, and a held reservation may not satisfy that wording; follow the checklist or ask the mission. And the UK sits at the other end: sending bookings there doesn't hurt, but it doesn't add much either. Money, ties and purpose carry a UK visitor file. How should the flight and hotel bookings agree?

Think of the flight as the frame and the hotels as what fills it. The frame sets the first and last night; the hotels must fill every night in between, in the right cities. Here are the fields we check against each other:

Overnight flights trip people up. Say you leave Mumbai at 01:50 on 12 November and land in Frankfurt at 07:40 the same morning. Your first hotel night is 12 November, not 11 November. Now flip it: a return flight at 22:30 on 25 November means you check out that morning and spend the day in the city. That is normal, and the hotel's last night is 24 November. The flight and hotel agree; they just don't share the same date on both ends.

Count nights, not days. A trip from 12 to 25 November is 13 nights. Add up the nights on all your hotel reservations and you should get 13, unless some nights are covered by a host, an overnight train or a cruise. If so, the cover letter should say so in one line.

In what order should you build the bookings?

Dates first, documents second. People who start by booking a hotel and fitting flights around it tend to end up with gaps. This is the order we'd follow:

  1. Fix the trip dates and the route. Which cities, how many nights in each, and which country is the main destination (for Schengen, that decides where you apply).
  2. Check the dates against the visa rules. For Schengen, you apply at least 15 days and no more than six months before travel.[2]
  3. Get the flight reservation. In through the first city, out of the last one.
  4. Get the hotel reservations to fit the flights. One stay per city, back to back, with check-out and check-in on the travel day.
  5. Add internal transport. A train or flight between cities, if the checklist asks for it.
  6. Buy travel insurance for the exact period. Arrival to departure, at least.
  7. Fill in the application form last. Copy the dates from the documents, not from memory.
  8. Write the cover letter. A short day plan that names the same cities and dates.

A worked example: Paris and Rome in 10 nights

Here's an example trip. Two adults, applying to France because Paris is the longer stay.

  • Flight reservation: Delhi to Paris, arriving 3 March; Rome to Delhi, leaving 13 March. Both names on the booking.
  • Hotel 1: Paris, check-in 3 March, check-out 9 March (6 nights).
  • Train: Paris to Rome on 9 March.
  • Hotel 2: Rome, check-in 9 March, check-out 13 March (4 nights).
  • Insurance: 3 to 13 March, both travellers.

Total: 10 nights, all covered, two cities, one main destination. An officer can read the plan in under a minute, which is exactly what you want. If the Paris hotel had started on 4 March, the night of 3 March would be unexplained. Small, but avoidable.

What are the most common mismatches?

  • A missing night between two hotels, or between the flight and the first hotel.
  • Different spellings of a name on the flight and the hotel, often a dropped middle name.
  • A family file where one child is on the flight but not on the hotel (or the room is booked for fewer guests).
  • A hotel in the wrong city after an itinerary change, with the old booking left in the file.
  • Insurance that starts the day after arrival or ends the day before departure.
  • Applying to one country while most nights are in another.

Every one of these is visible on paper without any lookup. That's why we'd spend ten minutes laying the documents side by side before the appointment.

How to check the pair in ten minutes

Print everything, or open it all on one screen, and go through it in this order. It's the same routine a careful agent at a visa desk would follow.

Start with the passport data page and read each name aloud. Then find the same names on the flight reservation and on each hotel confirmation. A missing middle name or a swapped first and last name is the commonest slip, and it's easy to miss when you're only skimming.

Next, take a calendar and mark the arrival date from the flight. Shade every night until the departure date. Now lay each hotel stay over the shading. Every shaded night should be covered once, with no overlaps between hotels and no blank nights. If two hotels overlap by a night, the officer may wonder which plan is real.

Then check cities. The first hotel should be in the city you fly into, or a short train ride away; the last should be where you fly out. If you land in Frankfurt but your first hotel is in Paris, the file needs a line explaining how you get there that day.

Finally, open the flight booking on the airline's website using the PNR and your surname, and confirm it still shows the same flights. Hotel confirmations usually carry a confirmation number; keep it visible on the page you submit.

What if you are staying with friends or family?

Then don't book a hotel just to fill the slot. Submit what the checklist names for private stays. German missions in India accept proof of sponsorship or private accommodation from the host, with the host's signed confirmation, proof of address and a copy of their passport or German ID card.[4] The Netherlands lets property owners show proof of ownership instead of a hotel booking.[3] Mixed trips are common: three nights with a cousin in Munich, four in a Vienna hotel. In that case you need the host's documents for the first part and a hotel reservation for the second, and the dates must still join up.

A flight price covers a one-way or a return journey for one person; a multi-city route counts each pair of legs separately. Each hotel stay costs the same local price, charged per stay and per traveller, not per night. So one traveller with a round trip and two hotel stays pays ₹699 + ₹699 + ₹699 = ₹2,097 ($27). Is a dummy booking accepted for a visa?

Where a checklist asks for a flight reservation and a hotel reservation, genuine held reservations in your name answer that request. Acceptance of the visa itself is always the consulate's decision. If your checklist demands confirmed or paid tickets, as Germany's embassy in Islamabad does, a held reservation may not be enough.

Do I need a hotel reservation for every night?

For Schengen, usually yes. The Netherlands asks for accommodation for the entire duration of the trip, and the Czech UAE checklist says the reservation should cover the whole stay. Nights with a host should be covered by the host's documents instead. Gaps without explanation are a common reason officers ask questions.

Can the hotel and flight be booked through different companies?

Yes. Nothing says they must come from one source. What matters is that names, cities and dates agree with each other and with your form. We offer both on one form for convenience, but a hotel you reserved yourself works just as well alongside our flight reservation.

My flight lands early in the morning. When should the hotel start?

On the date you land. If you arrive at 07:40 on 12 November, the first hotel night is 12 November. Check-in time doesn't matter for the visa file; the date does. A hotel starting the day before arrival isn't wrong, but say why in your cover letter.

Do I need both documents for a UK visitor visa?

No. The UK's own guide lists flight bookings (unless transiting) and hotel bookings among less useful documents. Put your effort into proof of income, savings, employment and the purpose of your visit instead. Including them won't count against you, but they won't strengthen a UK visitor file much either, so don't pay for them just for the UK.

What if my plans change after I submit?

Plans change; that's normal. If the visa is granted, plan the real trip within the dates and validity you were given, and buy your actual tickets and rooms then. If the change is big, such as a different main destination, check with the mission before you travel.

Can I use a dummy booking for a family application?

Yes, but every traveller must appear. Put all names on the flight reservation, book rooms for the right number of guests, and make sure each person's insurance and form show the same dates. Children's names should follow their passports exactly.
