Most of the people who ask us for an Air India reservation are applying from India for Europe, the UK or the US, and they want the flight in their file to look like the trip they will really take. That instinct is sound. Air India flies nonstop from Delhi and other Indian cities to a long list of European and British airports, so an Air India itinerary often is the natural plan. This guide explains how Air India's own booking rules work, what the airline's website will and won't let you do, how to check a reservation yourself, and where a held booking stops being the right document. Every airline rule here comes from airindia.com, and every visa rule from an official government page, listed at the end.

Can you hold an Air India seat without paying for it?
Not on Air India's public website. Its payment FAQ answers the question directly: there is no option to book now and pay later.[2] So if you search airindia.com hoping to park a seat for your visa appointment, you won't find a button for it.
What the site does offer is a short window after purchase. Bookings made direct can be changed or cancelled without Air India's charge for up to 24 hours from the time of booking, subject to its terms.[3] Some applicants use this as a workaround: buy, print, cancel. We don't think it suits most visa files. You pay the full fare up front, the convenience fee is not refunded, and the 24 hours usually run out long before your appointment.[2] Say your appointment is on a Thursday and you bought the fare on Monday. By Thursday morning the free window has closed, and cancelling then costs a fee that depends on the fare type.
A reservation from us is a different thing. It is a held booking with a live PNR, created for your names, route and dates, and emailed in about 10 minutes. You pay for the service, not the airfare. How long the hold lasts is shown on our booking form before you pay, and we'd always book it close to your appointment.
Which visa applications usually involve Air India flights?
Air India's network from India makes it a common choice for three groups of applicants.
Schengen applicants. Air India's own press releases list nonstop service to Amsterdam, Copenhagen, Frankfurt, Milan, Paris, Vienna and Zurich, with Rome added again from March 2026, which the airline describes as eight points in mainland Europe.[4][5] For a first trip to Germany or France, a Delhi–Frankfurt or Delhi–Paris round trip is about as plain an itinerary as an officer will see.
UK visitors. The airline serves three UK points.[4] Bear in mind that the UK takes a different view of flight documents, covered below.
US visitors. Many families plan US trips on Air India too. Washington's own advice is to hold off on tickets until the visa is issued, so a reservation is a sensible stand-in when your form or interview preparation calls for travel details.[9]
What do visa checklists actually ask for?
The airline matters far less than the wording on your checklist. Here is what official pages say, as checked this month.

If a checklist you receive says "confirmed" or "paid" ticket, take it literally. A held reservation may not satisfy that wording, and the safer path is a refundable fare or a direct question to the mission. How do you check an Air India reservation on airindia.com?
Do this yourself before the appointment. It takes a minute and catches most problems early.
- Open Manage Booking on airindia.com. In India the page sits under Book & Manage.[1]
- Type the booking reference from your PDF into the PNR field. It is six characters, letters and digits mixed.
- Enter the last name as it is spelt on the reservation, letter for letter.
- Submit and compare. Check every name, the flight numbers, the dates and the cities against your application form, hotel bookings and insurance.
- Save a screenshot with the date visible, in case anyone at the visa centre asks how you checked it.
If the page says it can't find the booking, look at the surname first. A missing space, a swapped first and last name or an initial typed as a full name are the usual causes. How should names appear on an Air India reservation?
Exactly as in the passport's machine-readable zone, in the same order. Air India's Manage Booking relies on the last name, so a mismatch there is the one error that makes a booking impossible to find.[1]
- Single-name passports. Some Indian passports show only a given name with the surname field blank. Tell us how the passport reads, and type the name the same way on the visa form.
- Middle names. If the passport has one, include it with the first name.
- Children. Every traveller on the visa application should be on the reservation, including infants.
- Married names. Use the name in the passport you are applying with, not the one you plan to change to.
Held reservation, refundable fare or buy-and-cancel?
Each has a place. The table compares them for a typical Delhi–Frankfurt round trip.

Our honest view: if the checklist asks for a reservation, a held booking is the cheapest way to meet it. If the checklist asks for a confirmed ticket, buy a flexible fare and accept the cancellation fee as the cost of certainty.
When should you book the reservation?
As late as you comfortably can. Say your Schengen appointment at a VFS centre is on 14 November. We'd book on 12 or 13 November, check it on airindia.com that evening, and print it the same night. Booking three weeks ahead gives the hold time to lapse before anyone looks at it.
For the flight dates themselves, follow the trip you actually intend. Schengen rules let you apply at least 15 days before travel and no earlier than six months, so pick travel dates in that window that match your leave letter and hotel bookings.[6]
What mistakes trip people up with Air India itineraries?
- Return date after the visa you asked for. If the form says 12 days, the flights should say 12 days.
- Wrong consulate for the route. Flying into Paris and spending most nights in Italy points to Italy, not France.
- One adult booked, family applying. Each applicant needs to appear on a reservation.
- Calling it a ticket. Describe it as a flight reservation on forms and in cover letters.
- Edited PDFs. Never alter a reservation document. If something is wrong, ask for a corrected booking.
How should your cover letter describe the flights?
Plainly. One or two sentences are enough: the airline, the route, the dates, and the word "reservation". Something like this works: "I hold a flight reservation on Air India from Delhi to Frankfurt on 10 December, returning from Paris on 24 December. I will purchase the ticket once a decision is made." That is accurate, it matches the document, and it shows the officer you understand the difference.
Avoid phrases such as "confirmed ticket" or "booked and paid". If the officer later looks up the PNR and sees an unticketed booking, a cover letter that overstated it does far more harm than the reservation ever could. Honesty is also simply the rule: never describe a document as something it isn't.
If your plans mix airlines, say so too. A family flying out on Air India and back on another carrier is completely normal. The point of the letter is that every date in it can be traced to a document in the file.
How to get an Air India-route reservation from us
Fill in the booking form with the route, dates and every passenger's name. If you want Air India specifically, write that in the notes box. Whether a hold can be made on a particular airline depends on the route and availability, so message us first if the carrier really matters to you.

Air India reservation questions
Is an Air India dummy ticket the same as an Air India e-ticket?
No. A dummy ticket in the sense we use is a held reservation: the booking exists in the airline's system under a PNR with your name and flights, but the fare has not been paid and you cannot board with it. An e-ticket is what you get after paying Air India. For a visa file, describe our document as a flight reservation.
What do I need to look up my Air India booking?
Two things: the booking reference number (PNR) and the passenger's last name. Air India's Manage Booking page asks for exactly these. Enter the surname as it appears on the reservation, including any spacing, or the search may come back empty even though the booking is there.
Can I use Air India's 24-hour free cancellation instead?
You can, if you meet its terms, but think about cost and timing. You must pay the whole fare first, the convenience fee isn't refunded, and the free window lasts only 24 hours from booking. Unless your appointment is the next day, the window will close before anyone reviews your file.
Will the consulate call Air India to check my booking?
Consulates don't publish how they check flight documents, so we can't tell you what any one officer will do. What we can say is that a real reservation can be looked up on airindia.com with its PNR and surname, which is why you should make sure it works for you before you submit.
Do I need an Air India reservation for a UK visa?
Usually not. In its supporting-documents guide, the Home Office rates flight bookings as of little use for a standard visit, except for transit. Some applicants still include one to show dates. If you do, keep it consistent with the dates in your application, and don't buy a ticket before the decision.
My visa came through. Do I buy the ticket from Air India?
Buy whatever real ticket suits your trip, from Air India or any other airline. The reservation was evidence of a plan, not a commitment to that carrier. Just travel on dates allowed by your visa, and keep your actual ticket with you for check-in and arrival.
Can you put my whole family on one Air India reservation?
Yes. Add every traveller on the booking form, each with the name exactly as in their passport. The price is per passenger. One booking reference covering everyone makes it easier for the visa centre to match family applications to the same trip.
