A business trip file is read differently from a holiday file. The officer wants to know who invited you, what you will do, who pays, and that you will go home when the meetings end. The flight is a small part of that story, but it is the part that pins your dates down. Below we compare what the official business checklists for six destinations (Schengen, Britain, America, Canada, Australia, UAE) actually say about flights, quote them, and link every one. Indian passport holders are the main example, because all six destinations require Indian citizens to get a visa or entry permit before travel; we note where other nationalities differ.
Business visa flights: key facts
| Question | Short answer from official sources |
|---|---|
| Is a paid ticket required for a Schengen business visa? | Usually no. Dutch guidance says a paid ticket is unnecessary[3], and Germany's India checklist asks for a "Flight reservation".[1] |
| Does a booked ticket speed things up? | Not in Germany: its India checklist states that paying for a ticket early earns no priority in processing.[1] |
| UK business visitor | GOV.UK lists "flight bookings (unless transiting)" among documents that are less useful as evidence.[5] A Standard Visitor visa costs £135 for up to 6 months.[7] |
| US B-1 visa | The State Department tells applicants to hold off on final plans and ticket purchases until a visa is issued.[8] |
| Canada business visitor | IRCC suggests including flight details; at the border, bring proof you can pay for "your stay in Canada and your return home".[9][10] |
| UAE visit for business | ICP lists a "Return Travel Ticket" among visit-visa conditions.[12] A held reservation may not satisfy that wording. |
Do you need a paid flight ticket for a business visa?
For the Schengen area, the UK, the USA and Canada, no official checklist we found asks business applicants to buy a ticket before the decision. Most ask for a reservation, an itinerary or simply your travel plans, and two of them actively discourage early purchase. The UAE is the one destination on this list where the official wording names a ticket, and Australia does not ask for a flight document at all.
That matters for cash flow. A business traveller from Pune or Chennai often has a fixed meeting date but no certainty about the visa. Paying for a non-refundable long-haul fare and then waiting weeks for a decision is a risk you do not need to take for most destinations. A verifiable reservation shows the same dates without the cost.
Our view: describe what you submit accurately. Call it a "flight reservation" in your covering letter. It is evidence of a plan, not a ticket, and an officer will respect a file that says so plainly.
What do the official business checklists say about flights?
This is the side-by-side view. The middle column quotes or closely reports the official page; the right column is what we would put in the file. Swipe sideways on a phone.
| Destination | Business route | What the official source says about flights | What fits |
|---|---|---|---|
| Germany (from India) | Schengen visa for Business | Item 19: "Flight reservation". A booked ticket gives no faster processing.[1] | Return reservation matching the invitation dates |
| Germany trade fairs | Exhibitors and visitors checklist | Item 15: "Flight reservation", plus stand confirmation for exhibitors.[2] | Reservation around the fair dates |
| Netherlands | Schengen visa for a business trip | "A reservation in your name" for the round trip, or some other record of travel plans; no paid ticket needed.[3] | Reservation in your name |
| United Kingdom | Standard Visitor (business activities) | Flight bookings listed as less useful evidence, unless transiting.[5] | Optional; a reservation can support your dates |
| United States | B-1 visitor visa | Don't buy tickets until you have a visa.[8] | Planned dates; a reservation only if you want one |
| Canada | Visitor visa, business visitor | Application may include "flight details"; border asks for funds for stay and return.[9][10] | Reservation as flight details |
| Australia | Visitor (600) Business Visitor stream | No flight document listed; asks for your plans and business contacts.[11] | Usually nothing flight-specific |
| UAE | Entity-sponsored visit visa | "Return Travel Ticket" appears in ICP's conditions.[12] | Ask the sponsor; a paid or refundable ticket may be needed |
Schengen business visa: what Germany and the Netherlands write
Germany's India checklist for business is one of the clearest in Europe. Alongside the invitation, company documents and insurance, it simply lists "Flight reservation" and then notes that buying the ticket early will not move your file up the queue.[1] The trade-fair version for exhibitors and visitors says the same thing about flights.[2]
- Germany, invitation letter: a signed letter from the business partner on letterhead, stating the purpose of travel, the itinerary and your personal data. If the host arranges your hotel, it should say so in the same letter.[1]
- Germany, longer stays: a detailed schedule of business meetings is needed only for stays over 30 days.[1]
- Netherlands, travel: a booking in your name for the trip in and out of the Schengen area, or other proof of your travel plans; "You do not need a paid travel ticket."[3]
- Netherlands, costs: "You must show who will pay your travel and costs of stay."[3]
The EU timing rules apply to business visas too: lodge the file between six months and 15 days ahead of departure; a decision normally takes 15 days, occasionally up to 45.[4] For a deeper country-by-country view of Schengen flight wording, see our Schengen visa guide.
UK business visitor: does the flight booking matter?
Barely. The Home Office guide to supporting documents puts flight bookings on its list of evidence that is less useful in visit applications, right next to hotel bookings and travel insurance.[5] What the caseworker wants for a business visit is the substance: who your employer is, what the UK activity is, and who is paying.
The permitted activities are narrower than many people assume. GOV.UK lists attending meetings, conferences and seminars, negotiating and signing deals, attending trade fairs to promote your business (without selling), and certain training, provided a UK organisation is not paying you.[6] If a host or sponsor is funding part of the trip, GOV.UK wants to see the nature of that help, how it is given and how you are connected.[5]
Should you still include a reservation? We think it is harmless if your form asks for dates and you want a tidy file, but it will not carry the application. GOV.UK lets you apply from three months out.[7] Our UK visa application guide goes into the visitor route in more depth.
US B-1 visa: should you book flights before the interview?
No. The State Department's visitor page says in as many words that tickets should wait until the visa is in hand.[8] B-1 covers activities such as consulting with business associates, and the decision is made at the interview, not from a document stack.[8] The DS-160 asks for intended arrival dates, so know your plan. A reservation can help you answer confidently if asked when you fly, but nothing official requires one. More on the interview itself is in our US visa interview guide.
Canada and Australia: what business visitors show
Canada. On its visitor visa page, IRCC lists "flight details" and accommodation proof as examples of documents that show the length and purpose of your stay.[9] For business visitors it adds a list for the border: "letters of support from your parent company, and a letter of invitation from the Canadian host business", 24-hour contact details for your host, and "proof that you have enough money to cover both your stay in Canada and your return home".[10] A reservation fits the "flight details" suggestion well. The visa processing fee is CAN$100 plus CAN$85 for biometrics.[9]
Australia. The Business Visitor stream of the subclass 600 visa lets you make general business enquiries, negotiate contracts and attend a conference or trade fair, for up to three months.[11] Its document list mentions an invitation from a host organisation, conference registration, an employer letter explaining the visit, "your plans for your stay" and your Australian business contacts. It does not list a flight booking. If you want to show dates, a reservation does no harm, but do not expect it to be asked for. See our Australia visa guide.
UAE business visits: where a ticket is written into the rules
The UAE works differently. Visit visas for business are usually applied for by a sponsoring UAE entity, not by you at a consulate. ICP's visa-issuance service lists entities that can sponsor a visa for a work mission, and the conditions shown on that page include a valid UAE health insurance policy, a passport valid for at least six months, and a "Return Travel Ticket".[12]
That is the word "ticket", not "reservation". We will be plain about it: a held reservation may not satisfy a requirement written that way. Ask your sponsor's PRO or typing centre what they will upload. If they need an issued ticket, buy a refundable fare. Airline-arranged UAE visas are stricter still: Emirates offers its visa service only to passengers whose Emirates ticket "has already been issued".[13]
One exception helps many Indian professionals: Dubai's GDRFA offers a 14-day visa on arrival to Indians with an ordinary passport plus an American green card or a British or EU residence visa.[14] If that is you, check the conditions on the GDRFA page; our Dubai and UAE visa guide covers the rest.
How should the reservation match the invitation letter?
This is where business files most often wobble. The invitation, the employer's letter and the flight should tell the same dates, and the flight should sit sensibly around the meetings.
Say your Frankfurt client has invited you for meetings on 10, 11 and 12 November. A clean plan is arriving on 9 November, flying home on 13 November, and booking three hotel nights or noting that the host arranges accommodation. If the reservation instead shows you landing on 3 November and leaving on 20 November, the officer will wonder what the other ten days are for. Leisure days are allowed on many business visas, but say so in the covering letter rather than leaving the officer to guess.
- Arrival the day before the first meeting, or the same morning for a short-haul trip.
- Departure the day after the last meeting, or that evening.
- Name exactly as printed in the passport, including any middle name.
- Route that ends where you live, so the return is obvious.
- Every city mentioned in the invitation also appears in your travel plan.

Trade fairs, client visits in several cities, and date changes
Multi-city business trips are common: a fair in Cologne, then a supplier in Milan, then a client in Paris. Schengen rules send you to the consulate of your main destination, and your plan should list every leg. A multi-city reservation that lists every flight is often easier for an officer to read than three separate documents. Our guide to multiple Schengen countries works through routing.
Meetings move. If a client pushes the meeting back by a week before your appointment, change the reservation so the file matches. If it moves after you have submitted, most consulates do not need a new reservation, but the visa validity granted may not cover the new dates. Check the dates on the visa sticker before you buy your real ticket.
Who pays for the flight, and does it matter?
It matters for the funding evidence, not for the flight document itself. The Netherlands asks you to show who will pay for travel and stay, either through your own bank statements and payslips or through the host's letter confirming it covers the costs.[3] GOV.UK asks for evidence of any sponsor's support and your relationship with them.[5] If your employer is booking the real ticket after the visa, the reservation can still be in your name now; just make sure the employer's letter says the company will pay.
Step by step: preparing the flight part of a business file
- Read your own checklist first. Download it from the embassy or visa centre for your country of residence. Note whether it says reservation, itinerary or ticket.
- Fix the meeting dates. Get the invitation letter dated and signed before you choose flights.
- Choose arrival and departure dates that wrap the meetings tightly, with any leisure days explained in the covering letter.
- Reserve the flights shortly before the appointment, copying each name letter by letter from the passport.
- Check the PNR on the airline's "Manage booking" page. The walkthrough on checking a reservation before you submit it covers each screen.
- Line up the rest: hotel or host accommodation, insurance where required, employer letter and funding proof.
- Buy the real ticket after the visa, within the validity you were actually granted.
What a business flight reservation costs with us
Our reservations carry a live PNR under your name for whichever route and dates you pick. Anyone can look it up on the airline's site; it is not paid for and will not get you on a plane. You will see how long the hold lasts before paying, which is why we suggest ordering near the appointment date.
That is the charge per traveller whether one way or return; multi-city itineraries are billed per two legs. Expect the email in roughly 10 minutes. Razorpay handles payment by UPI, card or netbanking. See the full price list, how a flight reservation for a visa works, or add a hotel booking if your host is not arranging accommodation.
Booking for a business trip?
Live PNR in your name, matched to your meeting dates. ₹699 / $9 per passenger.
Please note: a reservation supports your application; it does not decide it. The consulate decides, and where a checklist asks for a paid or issued ticket, follow the checklist.
Frequently asked questions
Is a dummy ticket legal for a business visa?
A genuine flight reservation with a real PNR is a normal travel document, and several official checklists ask for exactly that. Problems start only with fabricated or doctored PDFs, or with presenting the reservation as something you paid for. Describe it honestly as a flight reservation, make sure it can be checked on the airline website, and you are submitting what the checklist requested.
Can my company's travel desk make the reservation instead?
Yes. Many corporate travel desks can hold a booking for visa purposes. The requirements are the same whoever makes it: your name exactly as in the passport, dates that match the invitation, and a PNR that can be verified. If the travel desk will only issue paid tickets, a reservation from us is a cheaper way to show the plan until the visa is granted.
Does a business class reservation help my application?
We have seen no official checklist that gives weight to cabin class. A business class booking does not make an invitation more credible, and it may raise questions if your bank statements suggest otherwise. Book the cabin you would realistically fly. Our separate note on business class reservations explains this further.
What if the inviting company is paying for my flight?
The flight reservation can still be in your name now. What changes is the funding evidence: the invitation should say the company covers travel and accommodation, as the Netherlands checklist expects. After the visa is granted, the company can buy the real ticket on the same dates or new ones within the visa's validity.
Do I need a return flight for a multiple-entry business visa?
For the first trip, yes in practice: the file should show you entering and leaving on specific dates. Multiple-entry validity is granted at the consulate's discretion based on your history and purpose. Later trips are not booked in advance for the application. Show the first trip clearly and explain regular travel in the covering letter.
How close to my appointment should I book?
We would book two or three days before the appointment, not two or three weeks. A held reservation is temporary, and you want it to still be live when the officer or visa centre looks at it. The hold window for each booking is shown before you pay, so you can time it.
Will the UAE accept a reservation for a business visit visa?
Not reliably. ICP lists a "Return Travel Ticket" among visit visa conditions, and airline-arranged visas need an issued ticket. Ask your sponsor what they will upload. If they need a ticket, a refundable fare is the honest route. A reservation is a better fit where the wording is "reservation" or "itinerary".
